TERMS AND CONDITIONS

1. Bookings

By booking with Wild Canvas, you enter into a binding contract with us.
The correct number of guests must be registered on the booking. Unregistered guests may be refused entry due to limited site capacity. Regular camping is charged per person and booked by pitch. Glamping is booked by unit and includes up to 4 people.
Infants aged 0–3 stay free as regular campers but must still be added to your booking. 
Minimum stays: 2 nights for camping and campervans, 3 nights for furnished bell tents.
Prices remain the same regardless of late arrival or early departure. 


No camping tents may be pitched beside glamping units unless part of the same group. Contact us for group glamping bookings.
 

Travel insurance that covers cancellation, curtailment, and adverse weather is strongly recommended — see Section 5.

2. Booking and Payment

Full payment is required for your booking to be confirmed. Incomplete bookings may be cancelled.
A booking confirmation will be emailed after payment. Please check your spam folder and contact us if you don’t receive it.
The lead booker must be aged 18 or over.
Stay extensions are subject to availability and cannot be guaranteed.
If you have not arrived by 12:00 noon on the day after your booking start date, your booking will be treated as cancelled.

3. Cancellation by You

If your plans change, cancellations must be emailed to us and are subject to the following non-refundable percentages, based on how far in advance you cancel:
- 30+ days before arrival: 10% non-refundable
- 14–29 days before arrival: 50% non-refundable
- 0–13 days before arrival: 100% non-refundable
Where a refund is due, it will be issued within 14 days to your original payment method.
This section covers cancellations made by you for personal reasons. Section 5 sets out our position on weather, flooding and site safety.

4. Force Majeure

Wild Canvas shall not be liable for any failure or delay in performing its obligations where such failure results from circumstances beyond our reasonable control, including but not limited to:

– flooding;
– severe or extreme weather;
– acts of God;
– fire;
– storm damage;
– disease outbreaks or pandemics;
– government restrictions;
– utility failures;
– industrial action;
– terrorism;
– civil unrest; or any other event making operation of the site unsafe or impracticable.

In such circumstances, Wild Canvas shall not be liable for any indirect or consequential losses, including travel costs, accommodation booked elsewhere, equipment hire, loss of enjoyment, loss of earnings or any other expenses incurred by guests. Section 5 covers weather and flooding specifically.

5. Weather, Flooding and Site Safety

Weather

Wild Canvas is an outdoor camping experience. Weather conditions form part of the experience and may affect the site, activities and facilities. Rain, wind, mud, flooding, high temperatures, insects and other natural conditions do not entitle guests to a refund, compensation or alternative accommodation.

Activities

Activities, workshops, live music, food vendors, bars and other advertised facilities may be amended, substituted or cancelled without notice due to weather, operational requirements or circumstances beyond our control.

Flooding


Wild Canvas is situated beside the River Great Ouse. Flooding has not affected the site in previous seasons and is considered unlikely, but water levels can rise following heavy rainfall locally or upstream. As a precaution, where we consider it necessary for guest safety, we reserve the right to close any area of the site, relocate guests, or evacuate the site.

Liability

Wild Canvas is not responsible for loss or damage to tents, awnings, gazebos, campervans, vehicles or personal belongings caused by adverse weather, flooding, falling branches or other natural events.

Early Departure

Guests choosing to leave early for any reason, including weather conditions, flooding, or personal preference, are not entitled to a refund. We recommend travel insurance that covers adverse weather.

Evacuation

Guests must comply immediately with any instructions issued by Wild Canvas staff relating to safety, evacuation or relocation. Failure to do so may result in removal from the site.

Vehicles

Vehicles left on site during periods of adverse weather remain entirely at the owner’s risk.

Partial or Full Site Closure

Wild Canvas operates outdoors on a riverside site, and in rare and unprecedented cases adverse weather, flooding, or other circumstances beyond our control may require us to close part or all of the site, restrict certain areas or facilities, or relocate or evacuate guests.

Because of the seasonal and weather-dependent nature of our business, bookings remain non-refundable in these circumstances. Wherever we can, we will try to help — for example by offering an alternative date, a credit voucher, or another gesture of goodwill — but this is entirely at our discretion and does not create any obligation for future bookings.

6. Site Safety

By booking, you acknowledge the natural risks of a riverside camping environment, including uneven ground, wildlife, and changing water levels.
The riverbank is unfenced. Children must be supervised at all times.
Wild Canvas provides no lifeguards and accepts no responsibility for river or water use.

7. General Site Rules
– No pets allowed, except registered guide/support dogs with documentation.

– No unsupervised guests under 18 without prior agreement.

– Alcohol consumption is prohibited for anyone under 18.

– Open fires and BBQs only in raised fire pits; no fires on the ground, no gas stoves in or next to tents.

– Music at the bar ends by midnight on weekends.

– Small personal speakers are allowed provided the volume does not disturb other campers; no amplified music after 10pm in the fields. Please be considerate of neighbouring campers at all times.

– Illegal drugs, violence, or aggressive behaviour will result in removal from site without refund.

– Please leave no trace. Dispose of rubbish in the bins provided or take it home with you — charges may apply for abandoned camping equipment.

– No fireworks, sky lanterns, weapons, generators, or hazardous materials.

– Smoking is permitted outdoors, away from covered areas and children. Please dispose of cigarette butts responsibly.

– We reserve the right to refuse entry to, or remove, anyone who does not follow these guidelines.

8. Vehicles and Parking

– Please drive slowly and carefully; the site speed limit is 5mph.

– Cars must remain in the designated parking area — our camping fields are car-free.

– No EV charging is available on site.

9. Drones


Drones are not permitted anywhere on site unless approved in writing by Wild Canvas management in advance.

10. Lost Property

Lost property is kept for 14 days after the event and then donated or disposed of.

11. Liability


Wild Canvas Ltd, its staff, and partners are not liable for loss of or damage to guests’ property, or for injuries sustained on site, except where caused by our negligence.
Nothing in these terms affects your statutory consumer rights, or our liability for death or personal injury caused by our negligence, or for fraud.

12. Contact and Complaints


If you experience any issues during your stay, please let us know immediately so we can help. After your stay, complaints or enquiries can be emailed to: info@wildcanvas.uk within 14 days of your departure.

13. General

Photography and Marketing
We may take photographs and videos on site from time to time for use in our marketing, website, and social media. If you would prefer not to be included, please let a member of staff know on arrival or email info@wildcanvas.uk in advance, and we will do our reasonable best to keep you out of any published material.

Privacy

We collect and use personal data in connection with your booking in accordance with our Privacy Policy, available at [insert link]. This includes any images taken as described above.

Changes to These Terms

We may update these terms from time to time. The version in force at the time you made your booking will apply to your stay.
Governing Law
These terms are governed by the law of England and Wales. Any disputes arising from them will be subject to the exclusive jurisdiction of the courts of England and Wales.

Statutory Rights

Nothing in these terms affects your statutory rights as a consumer, including your rights under the Consumer Rights Act 2015.
